Procrastinator’s Guide To Plan A Holiday Party

Let me guess, you’ve had a boatload of work trying to finish out the year and your boss just decided the company should throw a company holiday party

- OR -

You’re just really busy constantly working on that MASSIVE TO-DO list and have an itty-bitty amount of time to work on the holiday party.

 Don’t you fret!  I’ve got you covered with a quick & dirty TO-DO list plus there’s a download to keep you organized.

 Keep reading to make your life just a bit easier.  Get ready – get set – GO!!!

 Pre-Event Planning

  • Research and secure venue  (Eventective.com, Bizbash.com, Eventup.com are good resources)

  • Recruit and secure event vendors: caterer, rental equipment, audio/visual company, entertainment (Bizbash.com and MPI.com can help)

  • Create artwork for invites and event website (#ILoveCanva.com)

  • Send invite once date and venue is secured

  • Order event supplies, gifts/prizes, signage (avoid rushed shipping charges)

  • Create day of event documents to stay organized: Timeline, Checklist and Site Layout

  • Hold a site walk thru before the event at the venue with caterer, rental equipment company, A/V company and entertainment (if necessary)

  • If you have an event team, hold a meeting to discuss day of event roles during the party

  • Send reminder email to RSVP list with important event information (i.e. date, time, address, parking info, guest attire)

 

Day Of Event Activities

  • Print out RSVP list (sorted by last name)

  • Do a site walk thru with event vendors to make sure everything is in place or make changes where necessary

  • Rehearse program with A/V (sound & lighting check), MC and any other person speaking at least 1-hour prior to guest arrival

  • Hold a 10-minute event staff meeting with EVERYONE involved (including event vendors) to give last minute information and changes

Post Event TO - DO's

  • Send thank you letters/emails to event vendors & guests

  • Post images to social media (if allowed)
